Keeybod LLC (“Keeybod,” “we,” “us,” or “our”) provides a mobile and web application that helps patients understand and manage information about their healthcare visits. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using Keeybod, you agree to this policy.
1. Information we collect
Information you provide
- Account information. Name, email address, phone number (optional), and password.
- Health information. Visit recordings (with your permission), visit summaries, medications, allergies, conditions, appointments, and any notes you choose to add.
- Communications. Messages you send us through the contact form, support email, or in-app chat.
Information collected automatically
- Device and usage data. Device type, operating system, app version, and basic usage analytics (which screens you visit, when, and for how long).
- Crash reports. If the app crashes, we collect non-identifying technical data to fix the bug.
We do not collect precise location, contacts, photos, or microphone audio unless you explicitly grant permission and start a recording.
2. How we use your information
- To provide the core features of the app — recordings, summaries, medication tracking, appointment reminders, and family sharing.
- To improve the app, fix bugs, and develop new features.
- To respond to your messages and provide customer support.
- To comply with the law and respond to lawful requests.
We do not sell your personal or health information. We do not use your health information for advertising. Ever.
3. HIPAA
Keeybod is designed to be HIPAA compliant. Where Keeybod acts as a business associate of a covered entity (for example, a clinic or provider), we sign a Business Associate Agreement (BAA) and handle Protected Health Information (PHI) in accordance with HIPAA's Privacy and Security Rules.
Where Keeybod is used directly by patients without a clinic relationship, we still apply HIPAA-grade safeguards: encryption in transit (TLS 1.2+) and at rest (AES-256), role-based access controls, audit logging, and minimum-necessary access for our staff.
4. How we share information
We share your information only as described below:
- With your permission. If you choose to share a summary with a family member, caregiver, or another provider, we deliver the information you select.
- With service providers. Trusted vendors who help us run the app — for example, cloud hosting, transcription, and analytics. They are contractually bound to protect your information and use it only to provide their service to us.
- For legal reasons. If required by law, subpoena, or court order, or to protect rights, safety, or property.
- In a business transfer. If Keeybod is acquired or merges with another company, your information may transfer — subject to this Privacy Policy.
5. Your rights and choices
- Access, correct, or delete your information at any time inside the app or by emailing privacy@keeybod.com.
- Export your data in a portable format.
- Revoke any sharing you have set up.
- Close your account. We will delete your data within 30 days, except where law requires retention.
Residents of California, Colorado, Virginia, and other states with applicable privacy laws may have additional rights, including the right to opt out of certain data uses. Contact us at privacy@keeybod.com to exercise these rights.
6. Children
Keeybod is not intended for children under 13. We do not knowingly collect information from children under 13. Parents or guardians who become aware that a child has provided us information should contact us immediately.
7. Data retention
We retain your information for as long as your account is active or as needed to provide the service. After account deletion, we remove your personal and health information within 30 days, except for limited backup copies and records we are required to keep by law.
8. International users
Keeybod is operated in the United States. If you use the app from outside the U.S., your information will be transferred to and stored in the U.S., where data protection laws may differ from those of your country.
9. Changes to this policy
We may update this policy from time to time. If we make material changes, we will notify you in the app or by email before the changes take effect.
